Overview

LifeLong Medical Care is seeking an Associate Director of Health Professions Education & Training (HPET). The HPET Associate Director plays a pivotal role as a leader in the organization’s workforce development strategy and identity as a Teaching Health Center. They foster integration of all health profession education and training programs across the organization and lead the strategic growth of LifeLong’s clinical and allied healthcare training programs. The HPET Director works with primary care, dental care and behavioral health departments to provide leadership and centralized management for a high quality educational and inspiring experience for external learners and LifeLong preceptors and trainers. Responsibilities include creating consistency and economy of scale in administrative support systems through centralization, systems implementation and capacity building (IT, HR, Grants, Marketing, Communications, Finance, Credentialing), implementing centralized partnership building and management with health professions schools and institutions; providing centralized onboarding, management and tracking of undergraduate learners to ensure high quality experiences, and implementing strategies to better coordinate preceptor and didactics facilitator recruitment.

 

This is a full time, exempt, benefit eligible position.

We have over 15 primary care health centers and deliver integrated services including psychosocial, referrals, chronic disease management, dental, health education, home visits, and much, much more. 

 

Benefits

Responsibilities

1. Hire, supervise and coach HPET Department staff.

 

2. Ensure high quality training experiences for approximately 250 visiting learners annually.

  • Outreach, recruitment and interviewing
  • Trainee onboarding & offboarding
  • Agency and Academic liaison
  • Preceptor recruitment and support
  • Post training employment support
  • Learner tracking, management and data analysis

 

3. External Partnership Management & Oversight

  • Provide centralized management of all HPET partnerships
  • Manage and maintain strong relationships with schools, training program partners and research partners to support LifeLong’s workforce development needs
  • Represent LifeLong with workforce development partners and committees
  • Develop, execute and manage all external affiliation agreements and MOUs with training/academic partners on behalf of LifeLong
  • Implement standard templates for affiliation agreements
  • Ensure all agreements are updated as needed and maintained in a cloud-based database

 

4. Internal Partnership Management, Coordination and Facilitation

  • Facilitate and coordinate communication and programs across LifeLong departments that support HPET including Human Resources, Credentialing, Finance, Planning and Grants, Marketing and Communications, Compliance, and Information Technology/Health IT, including but not limited to:
  • Streamline orientation, onboarding, off-boarding, and credentialing
  • Centralize and match discipline-specific rotation requests with preceptor availability
  • Support program budget development, oversight, and financial tracking
  • Identify funding opportunities and supporting grant applications and reporting
  • Facilitate development of annual recruitment/branding strategy (shared/cobranded materials)
  • Ensure on-boarding and training in IT/HIT systems for learners and align document storage tools across programs where appropriate.

 

5. Support LifeLong’s Graduate Training & Education Development

  • Serve as a member of the leadership team for LifeLong’s Family Medicine Residency, Advanced Practice Provider Fellowship and Integrated Behavioral Health Graduate Student Internship programs.
  • Support and foster cross disciplinary training approaches with medical, behavioral health and dental
  • Work closely with program and agency leadership to develop and implement strategic workplans for graduate medical education programs.
  • In consultation with Program Directors, align training programs with one another where feasible (didactics, marketing, communications, recruitment, human resource, IT etc.)
  • Serve as the Institutional Administrator (.5 FTE) for the Sponsoring Institution including but not limited to:
    • Support the LifeLong GME Office and Designated Institutional Official (DIO)
    • Maintain ACGME Sponsoring Institution Accreditation
    • In partnership with the DIO, facilitate the Graduate Medical Education Committee
    • Submit the Annual WebAds for the Sponsoring Institution
    • Support Institutional and Programmatic ACGME Site Reviews and CLER visits
    • Provide support and oversight to the Annual Institutional Review and Special Program Reviews
    • Maintain all Institutional and Program Policies ensuring alignment with ACGME requirements
    • Support development, oversight and implementation of LifeLong’s CBA with SEIU-CIR
    • Coordinate resident disability accommodations process in partnership with HR and the Program
    • Provide orientation to New Residents
  • Implement strategies to better coordinate preceptor and didactics facilitator recruitment.
  • Support identifying and implementing strategies to improve success of faculty hiring
  • Strategy development to increase faculty and resident diversity
  • Collaborate with program and agency leadership on monitoring and evaluation efforts
  • Implement compliance training and risk mitigation efforts specific to graduate and undergraduate trainees.
  • Leverage training program activities to provide CME/training opportunities for LifeLong staff
  • Manage LifeLong Sub Internship Recruitment and Onboarding

 

6. Sustain and Grow LifeLong’s Allied Healthcare Professional Education & Training programs

  • CHW Apprenticeship

  • RN Residency

 

7. Strategic Planning & Sustainability

  • Work closely with the Senior Director of Strategy and Planning to manage and grow LifeLong’s portfolio of workforce development and HPET grants
  • Lead grant proposal development efforts on behalf program leaders in partnership with Senior Director of Strategy and Planning
  • Ensure compliance with grant requirements and oversee grant reporting
  • Lead development and oversight of program budgets in coordination with program leadership, finance and grants accounting

 

8. CME

  • Supervise LifeLong CME Coordinator
  • Maintain EEDs system
  • Maintain CME Accreditation

Qualifications

Education and Experience 

  • Master's degree in Healthcare, Business, or Education is required.
  • A minimum of ten years of administrative or management experience.
  • A minimum of five years of experience in healthcare workforce development or medical education administration.

Knowledge, Skills and Abilities 

  • Outstanding written and verbal communication skills, both qualitative and quantitative, including development and presentation of workplans, timelines, budgets, and deliverables.
  • Ability to handle sensitive information with absolute confidentiality is required.
  • Ability to organize information and prioritize workload is required.
  • Demonstrated program planning experience with a focus on health equity highly desirable.
  • Ability to collaborate effectively with colleagues, fiscal and data analysts, agency leadership, and external partners and funders.
  • Demonstrated experience leading, motivating and coaching in both group and individual settings.
  • Excellent strategic planning for program and fund development.
  • Strong interpersonal skills and high integrity.
  • Ability to lead collaborative planning to successfully develop and execute HPET programs and strategies
  • Excellent computer skills: Microsoft Office, Excel, Tableau, Epic or other data visualization or EHR systems.
  • Capacity to remain flexible to manage deadlines and multiple responsibilities in a fast-paced environment.
  • Highly organized, self-motivated, detail-oriented, and accurate.
  • Knowledge of Accreditation Council for Graduate Medical Education (ACGME) rules and regulations
