Overview

LifeLong Medical Care is looking for a Lead Central Templating Specialist at our 7th Street Site in Berkeley. The Lead Central Templating Specialist is responsible for overseeing the development, governance, and optimization of provider scheduling templates across the health centers. This position plays a critical role in ensuring access to care, operational efficiency, and provider productivity by aligning template design with organizational standards and strategic priorities. The Lead works cross-functionally with clinical leadership, scheduling operations, EHR/IT teams, and analytics to ensure that templates are accurate, consistent, and responsive to patient care needs. Additionally, this role provides direct support and mentorship to templating staff, ensures quality assurance, and helps drive data-informed improvements in provider access and visit efficiency

Responsibilities

Oversight of Template Governance: lead the design, standardization, and optimization of provider scheduling templates across the organization.

  • Ensure alignment with clinical operations, access standards, and regulatory guidelines (e.g., NCQA, UDS, PCMH).

Team Leadership & Workflow Management

  • Supervise and provide day-to-day guidance to templating staff or designated points of contact across sites.
  • Develop and maintain templating workflows, SOPs, and escalation protocols for template change management.

Cross-Functional Collaboration

  • Serve as the primary liaison between clinical leadership, provider teams, scheduling supervisors, and the EHR/IT department.
  • Facilitate meetings to review template needs, changes, and impacts on patient access and provider productivity.

Strategic Template Design

  • Oversee the build and implementation of provider templates that support organization-wide priorities such as:
    • Open and same-day access
    • Extended hours and mobile units
    • Team-based care and co-visits
    • Virtual and hybrid care delivery models

Quality Assurance & Data Integrity

  • Conduct regular audits to ensure template accuracy, adherence to access policies, and efficient slot utilization.
  • Proactively identify and resolve discrepancies between scheduled templates and actual provider availability.

Provider Onboarding & Change Support

  • Lead templating implementation for new providers, relocations, or service expansions.
  • Support operational readiness during provider leaves, schedule transitions, or urgent coverage changes.

Reporting & Performance Monitoring

  • Partner with analytics teams to track templating KPIs such as template utilization, slot fill rate, and provider availability accuracy.
  • Use data insights to recommend and implement improvements in scheduling efficiency and patient throughput.

Training & Staff Development

  • Provide training and mentoring to new templating specialists or scheduling coordinators.
  • Promote continuous improvement through team development, coaching, and system knowledge sharing.

Systems Optimization

  • Lead efforts to improve EHR scheduling tools, workflows, and reporting in collaboration with EHR governance teams.
  • Participate in testing, upgrades, and rollouts related to scheduling module enhancements.

 

Essential Functions 

       

  • Template Design & Oversight:
    Lead the creation and maintenance of standardized provider schedule templates across all service lines in alignment with clinical and operational goals.
  • Governance & Standardization:
    Develop and enforce templating protocols, policies, and workflows that support equitable access, continuity of care, and regulatory compliance (e.g., HRSA, NCQA, UDS).
  • Team Leadership:
    Provide day-to-day supervision and coaching to templating staff or decentralized scheduling leads to ensure high-quality, timely execution of template updates.
  • Stakeholder Collaboration:
    Serve as the primary point of contact for clinical directors, medical leadership, and access managers regarding provider availability and template performance.
  • Audit & Quality Assurance:
    Regularly audit templates for accuracy, slot utilization, and adherence to guidelines; resolve discrepancies and recommend corrective actions as needed.
  • Provider Onboarding & Transitions:
    Lead templating setup and adjustments for new providers, location changes, extended absences, and clinical service reconfigurations.
  • Data & Reporting:
    Collaborate with analytics teams to monitor key performance indicators such as fill rates, template utilization, and appointment availability; use insights to drive improvements.
  • Training & Capacity Building:
    Train and support scheduling and templating personnel on best practices, system tools, and organizational scheduling standards.
  • Systems Optimization:
    Partner with IT and EHR teams to improve scheduling system functionality, participate in upgrades, and test changes to templating tools or workflows.

Qualifications

Job Requirements

  • High school diploma or equivalent.
  • Minimum 4 years of experience in healthcare operations, provider scheduling, or EHR system support (preferably in an FQHC or ambulatory setting).
  • Demonstrated experience with electronic health records (e.g., OCHIN Epic, eClinicalWorks, or similar systems).
  • Strong analytical and organizational skills with keen attention to detail.
  • Ability to communicate and collaborate effectively with cross-functional teams and clinical staff.
  • Proficiency in Microsoft Excel, data entry, and documentation.

Job Preferences

  • Associate’s or Bachelor’s degree in healthcare administration, informatics, or related field.
  • Prior experience managing provider templates in a centralized scheduling or operations role.
  • Familiarity with patient access principles, appointment guidelines, or NCQA PCMH standards.
  • Understanding of visit types (new patient, return visit, procedure, urgent care, etc.) and time-based scheduling strategies.
