Overview

The Director of Contract Management leads efforts to standardize contracts, establish policies, and create efficient systems to manage the organization’s contract lifecycle. This position serves to safeguard LifeLong Medical Care’s operational integrity and financial health. By establishing efficient processes, fostering vendor relationships, and ensuring compliance, this role directly contributes to the organization’s ability to deliver high-quality care to the community.

 

This is a full time, exempt, benefit eligible, on-site position in Berkeley.

 

LifeLong Medical Care is a multi-site, Federally Qualified Health Center (FQHC) with a rich history of providing innovative healthcare and social services to a wonderfully diverse patient community. Our patient-centered health home is a dynamic place to work, practice, and grow. We have over 15 primary care health centers and deliver integrated services including psychosocial, referrals, chronic disease management, dental, health education, home visits, and much, much more. Benefits

Compensation: $140k - $155k/year. We offer excellent benefits including: medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits including ten paid holidays, Flexible Spending Accounts, 403(b) retirement savings plan.

 

COVID-19 Vaccine Policy

Responsibilities

The Director of Contract Management oversees the development, implementation, and administration of LifeLong Medical Care’s contracting processes, ensuring all agreements align with organizational goals, mitigate risk, and comply with applicable laws and regulations. This role is essential to streamlining contract workflows, maintaining oversight of vendor relationships, and ensuring timely execution and renewals.

Signatory Policies and Limits 

  • Develop, implement, and maintain organizational policies for contract signatory authority and limits to ensure compliance and accountability.
  • Establish and enforce processes to verify proper authorization for contract execution across departments.
  • Educate internal stakeholders on signatory policies and provide guidance on appropriate approval workflows.

Contract Repository Management 

  • Oversee the creation and maintenance of a centralized contract repository, ensuring easy access, version control, and secure storage.
  • Implement technology solutions to manage and track contract lifecycles, including execution, renewal, and termination.
  • Ensure contracts are archived in compliance with legal and organizational retention requirements.

Templating and Standardization 

  • Develop standardized contract templates to streamline the creation and approval of recurring agreements.
  • Ensure consistency and compliance across all contracts by incorporating best practices and adhering to organizational policies.
  • Partner with legal and compliance teams to regularly update templates based on changes in regulations or organizational priorities.

Vendor Negotiations 

  • Lead negotiations with vendors to secure favorable terms that align with LifeLong’s financial and operational goals.
  • Collaborate with internal stakeholders to assess vendor performance and address contract related issues.
  • Build and maintain strong vendor relationships to ensure successful partnership outcomes.

Pipeline and Renewals 

  • Implement systems to monitor and track contract pipelines, ensuring proactive management of upcoming renewals and expirations.
  • Coordinate with relevant departments to ensure timely renewal decisions and renegotiations.
  • Provide regular reports to leadership on contract status, upcoming renewals, and associated risks or opportunities.

Qualifications

  • Leadership: Ability to guide cross functional teams in contract related processes and build consensus among stakeholders.
  • Strategic Thinking: Skilled in aligning contract terms with organizational priorities and long-term goals.
  • Problem Solving: Proactive in identifying and resolving contract related issues, including vendor disputes and process inefficiencies.
  • Collaboration: Strong interpersonal skills to partner with legal, financial, and operational teams effectively.
  • Accountability: Demonstrated ability to uphold compliance and enforce organizational policies with integrity and transparency.

Education & Experience 

  • Bachelor’s degree in business administration, legal studies, or a related field; advanced degree or certification in contract management (e.g., CCMP, CPCM) preferred.
  • Minimum of 7 years of experience in contract management, procurement, or a related role, preferably within a nonprofit or healthcare environment.
  • Strong knowledge of contract lifecycle management, negotiation strategies, and legal requirements for contracting.
  • Proficiency in contract management software and tools, with the ability to implement and optimize these systems.
  • Excellent organizational, analytical, and communication skills with attention to detail.
