Overview

The Sr. Director of Business Planning & Project Management Office (PMO) is a critical leadership role responsible for designing and implementing strategic frameworks that drive organizational alignment, operational excellence, and accountability at LifeLong Medical Care. Reporting to the Chief of Staff & Chief Administrative Officer, this role leads the Business Planning and PMO functions, ensuring the effective execution of organizational priorities and the development of systems and processes to achieve LifeLong’s mission.

 

This is a full time, exempt, benefit eligible, on-site position in Berkeley.

 

LifeLong Medical Care is a multi-site, Federally Qualified Health Center (FQHC) with a rich history of providing innovative healthcare and social services to a wonderfully diverse patient community. Benefits

Compensation: $165k - $185k/year. We offer excellent benefits including: medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits including ten paid holidays, Flexible Spending Accounts, 403(b) retirement savings plan.

Responsibilities

This role is integral to LifeLong’s continued growth and success. The Sr. Director will oversee enterprise wide programs, including working closely with the executive team on development of the SPACE (Site, Program, Association, and Community Engagement) program and the Rhythm of Operations, to create a culture of transparency, structured decision-making, and continuous improvement. This leader is responsible for fostering collaboration across departments, tracking progress against key goals, and managing high impact initiatives that enhance the efficiency and effectiveness of the organization.

Rhythm of Operations Management 

  • Develop and Manage Strategic Frameworks: Lead the design and implementation of LifeLong’s Rhythm of Operations to align organizational activities, milestones, and reporting.
  • Facilitate Reporting and Accountability: Manage the creation of dashboards, report cards, and other tracking tools to measure progress against organizational objectives and key results (OKRs).
  • Budget Cascade: Partner with Finance and other leaders to implement a cascading budget process that empowers departments to align resources with priorities while maintaining fiscal responsibility.

SPACE Program Management 

  • Program Architecture: Establish and maintain the SPACE program (Site, Program, Association, and Community Engagement) framework, ensuring leadership engagement with internal and external stakeholders.
  • Pre-Brief Development: Ensure the preparation of prebrief materials to equip leaders with the context and information needed for meaningful interactions and impactful outcomes.
  • Engagement Cadence: Design a consistent schedule for SPACE visits to ensure visibility and connection to the work happening across LifeLong’s programs, clinics, and communities.

Business Reviews Governance

  • Organizational Dashboard & Report Card: Oversee the design and maintenance of tools that provide insight into LifeLong’s progress on strategic goals, including the organizational report card.
  • Ensure Operational Cadence: Oversee the execution of Quarterly and Monthly Business Reviews, fostering alignment across teams and ensuring the timely completion of priorities.
  • Goals Tracking: Track departmental and organizational performance, aligning priorities and identifying opportunities for improvement.

Action Item Tracker (AIT) Reporting 

  • Tracking and Follow Up: Maintain a comprehensive Action Item Tracker Report (AIT) to monitor progress on deliverables, ensuring accountability and resolution across leadership and teams.
  • Issue Escalation: Identify and address barriers to progress, collaborating with stakeholders to resolve challenges promptly.
  • Reporting Metrics: Ensure all monthly reporting on commitments and closed items are reported and tracked for SLT members as part of the monthly report card.

Project Management Office (PMO)

  • PMO Initiatives: Lead the Project Management Office, ensuring the successful delivery of critical organizational projects and alignment with LifeLong’s mission and strategic priorities.
  • Tools and Templates: Develop and implement best practices in project management structures, processes, and deliverables, aligned with consistent expectations and standards.
  • Problem-Solving: Ensure all projects are on track and delivered according to plan and expectations, while escalating and removing barriers as they arise.

Qualifications

  • Leadership: Proven ability to lead teams and manage cross departmental initiatives.
  • Process Improvement: Expertise in identifying inefficiencies and implementing systems to streamline operations.
  • Collaboration: Strong interpersonal skills to engage and align stakeholders across all levels of the organization.
  • Accountability: High-level of integrity and commitment to delivering results.

Education & Experience 

  • Bachelor’s degree required; MBA or advanced degree preferred.
  • Minimum of 10 years of experience in business planning, project management, or strategic operations, with at least 5 years in a leadership role.
  • Proven experience in designing and implementing enterprise level systems and frameworks.
  • Strong project management skills with a history of successfully delivering high impact initiatives.
  • Exceptional ability to foster cross functional collaboration and alignment.
  • Expertise in creating reporting tools such as dashboards and business review processes.
  • Strong analytical skills with the ability to interpret data and develop actionable insights.
  • Excellent verbal and written communication skills, with the ability to convey complex concepts clearly and concisely.
