Come join a dynamic and diverse team at LifeLong Medical Care as a Dental Front Office Coordinator working out of our Jenkins site in Richmond, CA. This is a temporary position, with the possibility of becoming permanent. Under the general supervision of the Center Manager, the Coordinator is responsible for the efficient running of the front desk including reception, appointment scheduling, patient intake and flow, financial eligibility and cashiering, and telephone operation.

 

Full time, Monday - Friday, temporary position with the possibility of becoming permanent. Must be bilingual English/Spanish.

Responsibilities

  • Responsible for patient reception and intake.
  • Manages clinical flow by ensuring patients are being seated on time in the back office.
  • Answers clinic phones and directs calls appropriately.
  • Verifies patient’s eligibility prior to dental visits.
  • Maintains inventory of front desk supplies and forms.
  • Ensures that voice messages are being checked and processed daily.
  • Sorts and distributes clinic mail.
  • Responsible for registration of new patients on an as needed basis.
  • Monitors DemandForce, text confirmation software, to ensure appointments are properly confirmed.
  • Ensures that front office staff confirm unconfirmed patient’s appointments 24-48 hours in advance.
  • Keeps track of appointments scheduled daily via Dentrix.
  • Ensure that template is properly opened for all providers.
  • Coordinates with Center Manager on front office staff’s schedule.
  • Maintains appearance of waiting areas and reception desk.
  • Manages the provider’s schedules in Dentrix by ensuring patients are properly scheduled.
  • Coordinates with Center Manager in regards to disciplinary action for Front Office Staff.
  • Maintains CARE Program paperwork for patients enrolled onto the Ryan White CARE Act.
  • Ensures that recall system is implemented and continually being completed.
  • Performs other duties as assigned by the Center Manager and Center Supervisor.

  • Strong organizational, administrative and problem-solving skills, and ability to be flexible and adaptive to change.
  • Ability to seek direction/approval on essential matters, yet work independently with little onsite supervision, using professional judgment and diplomacy.
  • Work in a team-oriented environment with a number of professionals with different work styles and support needs.
  • Excellent interpersonal, verbal, and written skills.
  • Conduct oneself in internal and external settings in a way that reflects positively on LifeLong Medical Care as an organization of professional, confident and sensitive staff.

Job Requirements          

  • High School Diploma/GED required.
  • Minimum one year experience as a Dental Receptionist.
  • Excellent customer service skills.
  • Proficient in Microsoft office suite.
  • Must be bilingual English/Spanish. 

Job Preferences              

  • Community health center experience.
  • Dental Assistant certification training preferred.
  • Bilingual English/Spanish; highly desirable.
  • Dentrix knowledge.
  • Experience and sensitivity working with low-income populations, substance users, HIV (AIDS) infected persons, and/or psychologically impaired persons.
  • Leadership skills is a plus.
